How a 10-person recruiting company started operating like a team of 30

The company

Resorsi is a recruiting and staffing company with a lean team. A founder who also runs sales strategy, an account manager, recruiters, and a small dev team. Every person wears multiple hats.

The problem

The CRM was a data graveyard. Updating deal stages, logging candidate progress, tracking recruiter activity was all manual. Reps would finish a call and spend 10 to 15 minutes logging notes, updating fields, and writing follow-up emails. Multiply that across dozens of daily interactions and you lose hours of selling time.

When a new lead came in, someone had to manually check the CRM, research the company, determine fit, and write a response. On a busy day, that could take 12 to 24 hours. In staffing, that is the difference between winning and losing the deal.

Weekly scorecards required someone to manually pull numbers from the CRM, cross-reference with email platforms, check the dev tracker for progress, and compile everything into a report. This took hours and was frequently wrong.

What we built

Rather than spending months on a roadmap, we started building immediately. Working systems shipped every week. Usage guided priorities.

Sales and CRM Intelligence

  • A daily communications check that scans Gmail and Slack across all active deals, identifies unanswered messages, flags pending candidates, and drafts responses. What used to be a 2-hour daily review became a 5-minute check.
  • A lead qualifier that auto-researches inbound leads, scores ICP fit, and drafts personalized responses for one-click approval. This is what took lead response time from 24 hours to under 2 minutes.
  • An objection handler that classifies pushback, researches the company, pulls social proof from existing clients, and drafts a tailored response before a human even reads the email.
  • Industry matching that instantly finds existing clients in the same industry as a new lead for social proof. No more digging through the CRM.

Recruitment Operations

  • Candidate follow-up reminders sent automatically with personalized information based on the role and stage.
  • When a deal closes, all associated candidates who were not selected are automatically updated and sent a professional rejection email.
  • A recruiter dashboard showing each recruiter their active deals, candidate pipeline, and performance metrics.

Reporting and Scorecards

  • Weekly metrics pulled automatically from the CRM, dev tracker, and email platforms and written directly into the scorecard.
  • 44 metrics across 6 scorecards generated automatically from connected systems.

100%
Team adoption
Things that used to take me hours now take minutes. I do not even think about most of my admin work anymore. The system just handles it.

Account Manager, Resorsi

The shift

The AI did not just make existing processes faster. It redistributed capability across the team. The account manager now runs her own scorecard updates, handles lead objections on her own, and contributes improvements to the system. Recruiters see their own dashboards, get deal age alerts, and have candidate follow-ups handled for them. They spend time recruiting, not doing admin.

New team members onboard to the AI platform with a single command. They immediately have access to every capability their department uses. No training required on the underlying systems.
