Client communications check in 5 minutes instead of 2 hours

2 hours to 5 minutes30+ deals scannedMessages drafted

The problem

Every morning, an account manager opened Gmail, then Slack, then the CRM, then Gmail again. For each of the 30+ active deals, she checked whether the client had sent anything new, whether candidates had updates, and whether anyone was waiting on a response. This took about 2 hours. By the time she finished, half the morning was gone.

The solution

A single command scans every active deal in the CRM, checks Gmail and Slack for unread messages on each one, identifies which clients need responses, flags pending candidates, and drafts a message for each. The account manager reviews the drafts, edits anything that needs a personal touch, and sends. Total time: about 5 minutes.

Daily client check-in

Before

Open 4 tools, manually check 30+ deals, write each response from scratch. 2 hours.

After

One command, review drafts, send. 5 minutes.

Why this matters

This is not a flashy feature. It is the kind of work that eats a team alive. Nobody talks about it because it is boring. But boring work done by a system is what gives your people their time back.
